Why spreadsheet fleets stall
Most courier and ride-hailing operators in Romania still run drivers, vehicles and cash in Excel or Google Sheets. That works until commissions, document expiries and multi-platform payouts no longer fit in one workbook.
MasterFlota replaces those sheets with one fleet record per person and vehicle. The import is faster when the existing files are cleaned first.
Data to collect before you import
Gather one row per driver or courier, not one row per platform login. If the same person works Uber and Bolt, they should still be a single profile.
- Full name, phone, and a unique internal ID you already use
- Platforms they work (Uber, Bolt, Glovo, Bolt Food, Wolt, other)
- Vehicle type and plate, or bicycle/scooter identifier
- Document types with expiry dates (licence, insurance, medical)
- Opening balance: advances, debts, and cash currently held
Commission rules to write down
Do not wait until after import to decide commission logic. Spreadsheets often hide different percentages per platform, city or fleet company.
Write the rule in plain language first: who earns what, on which platform, and whether tips or bonuses sit outside commission.
What changes on day one
Once people and vehicles are in MasterFlota, accountants stop reconciling five sheets, and operations can see document expiries and cash held without asking WhatsApp groups.
Use a short overlap week: keep the old sheet as a backup, but enter new activity only in the platform.
